The Scheduling Manager will report directly to the Operations Manager. The Right Candidate will have the primary responsibility of developing, communicating, coordinating, and managing caregiver and client schedules to ensure a perfect match. Right at Home Northwest Indiana has a client base in Lake, Porter and LaPorte counties. We value all of our caregivers and staff and we believe in recognizing our staff for their accomplishments. JOB DESCRIPTION
The Scheduling Manager is a dynamic problem-solver who is proactive, highly organized, an effective communicator, and has the ability to thrive in a fast-paced environment. This position will serve as a key liaison between office staff, clients, and caregivers. The primary responsibility of the Scheduling Manager is to develop and communicate caregiver schedules to meet the ongoing needs of our clients. The Scheduling Manager also supports the supervision of caregivers to maintain the “gold standard” of home care in Northwest Indiana, which Right at Home has come to represent. This position also entails supervising caregivers by conducting performance reviews, enforcing company policy, and conflict resolution.
RESPONSIBILITIES
- Develop, coordinate, manage, and maintain all client/caregiver schedules using our scheduling software.
- Consult with leadership to ensure schedules are appropriate to meet client needs.
- Review caregiver skill set, availability, preferences, and geographic information to appropriately match caregivers with existing and new clients.
- Adjust schedules as needed when changes in clients’ conditions warrant increases or decreases in service or changes to regular schedules. Document all changes as needed.
- Triage phone calls, communicating with office staff and caregiving staff to ensure client needs are met.
- Notify leadership of quality assurance issues promptly.
- Supervise, guide, and direct caregivers providing direct client care services, while accurately documenting and reporting caregiver job performance.
- Conduct caregiver performance reviews uphold company policy, and conflict resolution.
- Maintain client and caregiver confidentiality at all times.
- Other duties as assigned.
SKILLS AND ABILITIES
- Ability to multi-task and work in a fast paced environment.
- Highly organized, able to prioritize and change direction as needed.
- Able to effectively communicate in person and on the phone in a clear and detailed manner.
- Excellent customer service skills and telephone etiquette.
- Strong computer skills and comfortable with technology – proficient with Microsoft office and familiar with or able to learn and use ClearCare scheduling software.
- Critical thinker with the ability to use good judgement and make good decisions.
- Team player with initiative and enthusiasm.
- Possess a strong desire to serve others -- former experience caregiving and/or at a home care or home health agency is a plus.
- Great energy, empathy, and a willingness to do what it takes to get the job done.
REQUIREMENTS
- A minimum of 3-5 years prior scheduling experience within an office setting.
- Experience with scheduling, preferably as a scheduler or staffing coordinator in home care, home health, or a medical office.
- High school diploma required, college degree preferred.
- Valid driver's license
- Ability to work in the field, up to 25% of their time.
Compensation: $45,000.00 - $52,000.00 per year
